Travel Tips for Travel Arrangers
Here's the best way for a Travel Arranger to use TripIt to quickly organize a trip for a Business Traveler.
- Travel Arranger creates a free TripIt account in their name.
- When it's time to arrange travel for a Business Traveler, the Traveler Arranger creates a new trip 'shell' on TripIt, entering just the Trip Name, Primary Location and Start/End Dates, unchecking 'I am a traveler on this trip'.
- Travel Arranger forwards all the Business Traveler's confirmation emails to plans@tripit.com, which get automatically added to the new trip based on the start and end date.
- Travel Arranger customizes the TripIt itinerary as necessary, adding driving directions, client meetings, restaurant reservations, etc.
- Travel Arranger shares trip with Business Traveler, inviting them as a 'Traveler' and a 'Collaborator'. Note, if the Business Traveler is not using TripIt, a free account will automatically get created for them.
Now, both the Travel Arranger and the Business Traveler can see the trip in their respective TripIt accounts, and both can make changes as needed, including the Business Traveler being able to forward additional travel confirmation emails for the trip to plans@tripit.com.
In addition to having a combined itinerary, the Business Traveler can also access it via their mobile device, sync it to their personal calendar, or easily share it with fellow travelers or family members.
Note, if managing multiple travelers, turn-off 'Auto-Import Emails' in My Account, which will make it easier to file the right plans in the right trip. Also use trip names like 'Chicago, 5/1/08, Traveler Name' to help keep things organized.
